Abstract

The Council is seeking to appoint external organisations with previous relevant experience in this field to work with in partnership with the Council or other organisers, in delivering the Events programme for 2021/22. In summary, the 2021/22 events programme aims to: • Support the economy of the Vale’s Town Centres, Coastal destinations and Country Parks • Provide safe, community based events • Extend the traditional visitor season • Provide innovative opportunities for visitors/residents to enjoy the Vale • Provide outdoor based events where numbers can be controlled and large gatherings avoided For 2021/22 we are looking to develop the following themed events: • Vale Walking Season • Vale Photography Festival • Country Parks & Coastal Events Programme • Vale Light Festival • Vale Film Festival • Town Centre Events Suppliers may submit a quotation for one or more of the above.

3 Conditions for Participation

3.1

Minimum standards and qualification required

Suppliers will need to include the following services within their quotation.

• Concept development

• Event plan and delivery

• Management of the event in partnership with the VOG Events Officer

The Council actively promotes social inclusion and local investment and is interested to know what Community Benefits can be realised in association with this project. The successful bidder will be responsible for the completion of the ‘Community Benefits Toolbox’ forms.

The Council has an associated budget for each thematic event as detailed is Appendices 1-6

Clarification

Bidders may request clarification on this Request for Quotation by contacting the Council through the Sell2Wales procurement portal only and no later than 12:00 noon Wednesday 26th May 2021.

Please ensure all that the RFQ response is submitted through the portal by the deadline. The Council cannot accept any response submitted outside the portal. Any submissions sent directly to the Council outside of the portal will be deleted.

Under the terms of this contract the successful supplier(s) will be required to deliver Community Benefits in support of the authority’s economic and social objectives.
