Hague Release – Content Summary

The NHSmail Portal release is named in honour of Adele Hague, Nurse and Healthy Child Programme lead, Sheffield Children’s NHS Foundation Trust, who was awarded a British Empire Medal (BEM) for her services during the COVID-19 pandemic.

VN132 Functionality

New area of the Support Site called “Security Group Management” will contain articles detailing all new functionality: Security Group Management – NHSmail Support

  • 75150- [Admin] VN132: Search Security Groups

As part of this PBI, a New Tab “Security Groups” under Admin has been added. A Security Search page will be displayed when Admin->Security Group is selected.

Admins will be able to search security groups based on the following columns:

Display Name,

MailEnabled (True/False),

Email, Organisation,

ODS Code.

This PBI will allocate existing Admin users the following permissions, as well as grant any newly allocated Admin roles:

  • 75151- [Admin] VN132: Create a security group

As part of this PBI, a New “Add” button has been added in the Search security group page.
will be redirected to a create security group page by clicking on the “Add” button.

Create Security group has the below fields:

Owning Organisation: Organisation list will include organisations the Admin has access to.
Name: Admin can enter free text (max 64 characters).
Display Name: Display name generated from text entered in Name field.
Mail Enabled: Email address text box will be visible when Admin turns on the Mail enabled toggle.
Include All Users:  Admins creating Mail enabled security groups can turn on/off toggle to include all users under organisation to be added to new security group created.
Description: Admins can enter a description for the Security Group in description field (max 300 characters)

  • 75152- [Admin]VN132: Update a static security group

As part of this PBI, Admins will be able to update the Name and Description of security group. They will also have action buttons to “Manage Members“ and “Export Members” in the Edit Security group page.

Selecting ‘Manage Members’ will present the Edit Security Group page where Admins can view the members counts and Add, Remove and Bulk Update members.

  • 77625- [Admin]VN132: View static security group

As part of this PBI, when admins select a security group from the search security group page, security group details with description will be loaded in the Edit security group page.
Clicking on the cancel button will redirect to the search security group page.

  • 77626- [Admin]VN132: Add members to static security group

As part of this PBI, the “Add” button will be present on the “Manage Members” page.
After selecting the “Add” button, Admins will be redirected to a search mailbox page with relevant column options for selecting users.
Admins will be able to select single or multiple records to add members to the security group.

  • 77627- [Admin]VN132: Remove members from static security group

As part of this PBI, the “Remove” button will be present on the “Manage Members” page.
After selecting users and clicking on “Remove” it will remove the members from the security group.

  • 77628- [Admin]VN132: Bulk update members for static security group

As part of this PBI, the “Bulk update” button will be present in the “Manage Member” page.
When selecting “Bulk update”, admins will be redirected to the bulk update members’ page.
Admins will be able to upload the csv file with security group members.
Clicking on validate will validate email address to ensure the admin has permissions to add/remove members from the security group and will produce relevant validation results.
Upon successful validation, Admins will be able to upload the csv file. Members will be added/removed from security group.

  • 77629- [Admin]VN132: Export Members for static security group

As per this PBI, the “Export” button will be present in the Edit security group page.
After selecting “Export”, a success message will appear stating admins will receive an email with all members.

  • 77630- [Admin]VN132: Include All Users toggle to be added to create security group

As part of this PBI, when an Admin turns on the include all users toggle, a security group will have all users under the organisation added to  security group upon creation.
