Message to staff: New Epic e-Learning courses now live
Dear colleagues,
On Thursday 5 October 2023 we will be launching Epic at the Trust, our new electronic health record system alongside Guy’s and St Thomas’ NHS Foundation Trust and Synnovis.
To ensure all of you will be able to use Epic and make the most of the many benefits it will bring, the Apollo Programme team, responsible for launching Epic here at King's and at Guy’s and St Thomas’, have developed a comprehensive training programme. Today (8 June), I am pleased to provide you with an update on the first phase of training – completing your Epic e-learning.
This marks the exciting start of the single largest training programme in the Trust’s history and will ensure that every staff member is able to use the Epic system effectively. Please be aware that staff that are not trained to use Epic will not be able to access the Epic system once it goes live – which is why it is vital that everyone that currently uses our electronic health record systems completes their training when it becomes available.
Mandatory e-learning – new training courses available now
I am pleased to confirm that the first 11 Epic e-learning courses are now available to complete for staff. Included in this are courses that a range of staff will need to complete, including courses for inpatient nurses, healthcare assistants, diagnostic radiographers, administrative staff and colleagues that work in research. Please see the table at the end of this email for the full list of currently available e-learning and who needs to complete it.
To complete your e-learning, you will need to access the College of Healthcare Learning Hub, hosted by GSTT, via your usual LEAP login. Please refer to our detailed step-by-step guidance here, which explains how to get on to the learning hub.
We will be adding more training tracks on a regular basis so please check the Epic Course Catalogue (courses highlighted yellow are ready to complete) or the College of Healthcare Learning Hub regularly and complete any e-learning that has been assigned to you. We will also be sharing updates on e-learning courses as they go live in our staff bulletins, and in a new regular Epic newsletter.
As some of you may be aware, we were hoping to launch our e-learning courses for staff by the end of May, however unforeseen delays in delivering these has meant that not all e-learning courses are ready. I apologise for this delay as I know staff will have been expecting to complete their e-learning from the end of May, and the weeks ahead.
The Apollo Programme team are working at pace to get these courses finalised and uploaded as soon as they are ready, however for now, please do keep reviewing the list of currently available e-learning courses and if you can complete your e-learning on your rostered day, please do so.
Important: if you have been rostered to complete e-learning and your course is not available on your rostered day, please speak to your manager so that you can be re-rostered for a day later in the training window.
Mandatory face-to-face learning and assessment – bookings coming soon
We are currently completing some final updates to enable us to launch the booking process for stage two of our training programme – mandatory face-to-face learning and assessment. Managers and digital champions should receive further communications about this in the next week, and we intend to open up booking for face-to-face training for everyone else later in June.
Face-to-face classroom sessions, which will take place at one of our Trust sites, need to be booked in advance, and you must have completed your e-learning before you attend.
You will only be able to access the Epic system when it goes live if you have completed all of your training. If you are unsure about whether you will need to book your own training, or if this will be done for you, please ask your manager.
A reminder of the three-stage programme and thank you
Our three-stage Epic training programme, has been developed based on feedback from colleagues and subject matter experts and involves:
1. Mandatory e-learning 2. Mandatory face-to-face learning and assessment 3. Extra recommended learning to help build your confidence
We recently added more detail about each of these stages to our Epic training page on Kwiki, along with an FAQs document and step-by-step guidance so please do read the information fully.

The launch of Epic will deliver significant benefits for you and our patients, and training is crucial if we are to make the most of its many benefits, so please do engage with the programme as soon as you are able.
